About HawkWatch International

Founded in 1986, HawkWatch International is a raptor conservation nonprofit with a mission to conserve the environment through education, long-term monitoring, and scientific research on raptors as indicators of ecosystem health. As we approach 40 years of conservation, we are ready to invest in people who can help our hardworking team of educators, scientists, and administrative staff.

We hired our first Finance and Fundraising Assistant in early 2022, but this person is ready to transition to a position more aligned with their career goals. We hope to find a full-time Fundraising and Finance Assistant before the end of the calendar year so they can shadow our current assistant in December and be ready to hit the ground running in January 2025.

About the Position

The Fundraising and Finance Assistant is a shared role designed to bridge the gap between HWI’s Development (Fundraising) and Finance departments. As such, we are looking for an adaptable, flexible self-starter who is interested in learning and doing a variety of things—from Quickbooks entries to packaging merchandise orders. This is an ideal role for someone who gets bored easily, as every day can be different!

Although the Finance and Fundraising Assistant is a shared role, it is housed within the Administration Department and reports directly to the Director of Finance and Administration.

Primary Duties & Responsibilities

Financial Record Reconciliation (Quickbooks)

  • Enter and reconcile all revenue and donations in Quickbooks online
  • Enter and reconcile expenses in Quickbooks online
  • Help with bank and credit card reconciliations and monthly financial reporting
  • Reconcile gifts between CiviCRM database and Quickbooks online
  • Work closely with department heads to ensure that gifts are entered accurately and coded properly

Other Finance Duties

  • Produce financial reports for other departments and help fulfill other reporting requests
  • Actively explore opportunities to make processes more efficient and data more actionable

Donor Database Management (CiviCRM)

  • Lead the gift acknowledgment process, from entering gifts into the database to pulling together the final thank you letter package
  • Update and clean CiviCRM database to keep information updated and free of duplicates
  • Generate and prep mailing lists as needed
  • Assist the Development team with reporting on key fundraising metrics
  • Assist the Development team in donor outreach by identifying important opportunities to connect with donors and other constituents and logging activities

Other Fundraising Duties

  • Complete charitable registrations
  • Manage in-house merchandise orders
  • Manage main organization email
  • Actively explore opportunities to make processes more efficient and data more actionable

Qualifications

  • Strong computer skills including experience with or a willingness to quickly learn new systems such as Microsoft Office software, Google products, Quickbooks online, and CiviCRM
  • Hawk-like eye for detail and accuracy
  • Ability to solve problems and prioritize workload independently
  • Strong written, verbal, and interpersonal skills
  • Comfort working with remote team members

Characteristics That Will Set You Apart

  • Highly organized and independently motivated
  • Quickbooks online and database expertise
  • Experience with basic IT tasks, including setting up new hardware, supporting remote staff with access to servers, etc.

Additional Information

  • Although the successful applicant must be comfortable working with a remote team, this is not a remote role. All applicants must be able to work out of the main HWI office in Salt Lake City, Utah.
  • Flexibility in scheduling is available, including some ability to occasionally work remotely, but this is an exception rather than the rule. Applicants must be available to work 9am-5pm Monday-Friday. During periods where the workload requires working overtime, comp time is provided to promote a healthy work-life balance for employees.

Compensation

This full-time, exempt position offers a salary of $40,000 to $42,000 depending on experience. Health, dental, and vision insurance are available for employees with premiums 100% covered by the employer. We also match employee contributions to an IRA up to 3%. Paid time off includes vacation starting at 12 days per year, 9 personal days per year, and eight holidays.

Hiring Timeline

Applications may be reviewed ahead of the final application date of November 19, 2024, during a standardized scoring process that will determine which applicants move on to an interview, with interviews slated for November 19, 2024, through December 4, 2024. We plan to make an offer no later than December 9, 2024, and would prefer the successful candidate to join us for a couple of days in mid-December, to shadow our existing Assistant. We would expect the successful candidate to join us in a full-time capacity in late December 2024 or early January 2025.
